Enquiries and contact

We process your full name, email, phone, subject, project location and message. All fields are required to identify and understand the enquiry and contact you. Providing details is voluntary, but the form cannot be sent without them. You can also email or call us directly. Do not submit sensitive information or identity documents.

For pre-contract enquiries, the basis is Article 6(1)(b) GDPR. For other correspondence, including business representatives, it is Article 6(1)(f): our legitimate interest in answering enquiries and maintaining business communications. Your phone number is used for your enquiry, not as consent to telephone marketing.

We retain enquiries without a subsequent contract for up to 12 months after closing the matter, or for the applicable limitation period where needed for legal claims. Contract and accounting records have separate statutory retention duties (Article 6(1)(c)).

Interest in our newsletter

The footer form currently only lets you express interest in our newsletter. With your separate consent, it sends your email address, page language, submission date and the consent text and version to our office. Processing is based on Article 6(1)(a) GDPR. Providing your address and consent is voluntary but required to send this request.

We do not send automatic confirmations or newsletters to the submitted address and do not verify its ownership through an email link. The request does not activate a marketing subscription. Any future marketing emails require appropriate consent and address verification.

We retain the request in our office mailbox until consent is withdrawn, interest collection ends, or a maximum of 12 months after submission, whichever comes first. You may withdraw consent and request deletion free of charge by emailing biuro@thorsystems.pl. Withdrawal does not affect prior lawful processing. The website does not maintain a separate mailing list or track email opens.

Cookies and browser storage

There are no analytics or advertising cookies, marketing pixels or third-party embedded players. Images, video, fonts and logos are served by our website. Closing the notice does not enable tracking.

After you choose “Understood”, localStorage entry thor-privacy-notice-v2 records the notice version and a 6-month expiry. Its only purpose is to remember that you closed the notice. Expired data is removed on your next visit. The old thor-privacy-v1 entry is removed during the update.

Necessary storage falls under Article 399(3) of Poland’s Electronic Communications Law and § 25(2) TDDDG. We do not request consent for analytics we do not use. Reopen the notice or clear its saved state from the footer or your browser settings. Blocking localStorage does not prevent website use, but the notice may reappear.

Recipients and security

For the hosted website, LH.pl sp. z o.o. provides website and email infrastructure. Authorised staff and technical providers may access data only as necessary under appropriate authorisations or processing agreements. We do not sell personal data. Authorities may receive data where legally required.

The server receives your IP address and technical request information to provide the page. Forms use an IP hash to prevent abuse. The counter expires after one hour and is deleted on the next form request or optional scheduled cleanup, based on Article 6(1)(f) GDPR. Submission hashes used to prevent duplicate delivery expire after 10 minutes and are removed on the next use of the respective form or by optional cleanup. Infrastructure security logs may be handled by the hosting provider. Log retention depends on its purpose: technical operation, abuse detection and investigation of security incidents, taking the hosting terms into account. Contact us for details about your data. We use no external marketing services or planned transfers outside the EEA.

Your rights

You can request access, correction, deletion and restricted processing, and data portability where GDPR conditions apply. You can object to legitimate-interest processing on grounds relating to your situation, and to direct marketing at any time. You may withdraw consent at any time.

We normally respond within one month and notify you if a lawful extension applies. You can complain to Poland’s UODO or the supervisory authority where you live, work or believe an infringement occurred, including Germany. We do not make solely automated decisions about you or profile you.
